Bulk Ordering Preference Lists
When a clinician clicks the Place Orders button from a Reporting Workbench report, a preference list browser appears. If you want clinicians to be able to place bulk orders, you must link the desired preference list in System Definitions or in a profile if you want different preference lists for different groups of users.
Epic recommends that any procedure orders placed as part of a bulk ordering session go through order transmittal in the same way that individual procedure orders do. This helps ensure that procedure orders get to their expected destinations, such as interfaces.
To help ensure that the proper diagnosis for each patient is associated with an order when clinicians or care managers place orders in bulk, you can automatically associate patient-specific diagnoses during bulk order workflows. This might be useful to help your billing staff ensure that the proper ICD codes are added to claims.
It is also possible to place different orders for patients found using the same report. Instead of using report criteria in multiple reports to find patients who need specific orders placed, you can use less specific criteria and then place orders for groups of patients using rules to determine which patients get which orders.

What’s the deal with this Dx Association field?
Bulk Orders can only be placed if a diagnosis associates with the order. This field allows analysts to place a further backup diagnosis or set an associated diagnosis in the case where all patients receive the order with a generic diagnosis.
Beginning in February 2025, the Diagnosis ID [45080] property can be used in Diagnosis Association Rules for both Health Maintenance and Bulk Orders, which negates the need for this field when a diagnosis rule with that property is used for diagnosis association.
In some instances, such as influenza vaccinations, this field might still be used for placing generic diagnoses, instead of configuring a rule.
If diagnosis codes should be associated with the orders placed through bulk ordering, builders need to set up the association in the Preference List Composer using a diagnosis association rule, or a default diagnosis.
Those diagnoses are automatically added to the bulk ordering encounter that the system creates for each patient. However, clinicians cannot add or change diagnoses while placing bulk orders.
Build a Rule to Associate Patient-Specific Diagnoses for Bulk Orders

The above properties allow you to build a rule to return a patient specific diagnosis.
To specify a default fallback diagnosis if your rule is unable to find a matching diagnosis on the patient’s chart, you can use the following property:

If you build a rule using a property other than the ones listed here, the system will prevent you from linking the rule in a bulk order preference list.
Set the Return type of your rule to Networked [3]:
Database: EDG

The Return type defines the format used to store the output of the rule.
With the return type, database and item we have listed, the rule will network the returned values to EDG IDs, showing us a name of a diagnosis.
Select First true line logic.
This will ensure the rule quits after it finds a diagnosis.

Bulk Ordering Options
Log in to text as your Harper physician builder (2221##)
Go to Clinical Administration > Management Options > Profiles.
Open your TRN## HP Department Profile, and Decision Support, Pop Management.
Use Screen Fast Forward by pressing Home then F9 selecting ‘T’ to input text and typing “Bulk Orders Options”.
On the Bulk Orders Options screen, link your preference list.

System Settings for Bulk Ordering Encounters
The system automatically creates a new encounter for each patient included in a bulk ordering session. You can determine what type of encounter the system creates, such as Orders Only. You can configure this option in System Definitions.
How Bulk Ordering & Communication Encounters Are Created
When encounters are created for bulk orders, the system uses the authorizing provider as the encounter provider. The department that is listed for the encounter is the user’s login department.
While there is a setting in System Definitions (LSD) for a default bulk ordering encounter type, the system will create different types of encounters depending on the exact bulk ordering workflow.
Bulk Ordering without Bulk Communication: If an existing encounter of the correct type is found, on the current day, in the correct department it will be re-used. If not, we always create the default encounter type.
Bulk Communication without Bulk Ordering: When patients have a communication preference of phone, a Patient Outreach encounter is created when a person clicks the Initiate Calls button from In Basket.
Bulk Ordering with Bulk Communication: When patients have a communication preference of phone, a Patient Outreach encounter is created right away and is used for the bulk orders. This encounter is left open in order for clinicians to use when calling the patient. The clinician should select the Patient Outreach encounter already created for the patient when clicking Initiate Calls from In Basket.
